Stages in Action: Automate Your Job Lifecycle

What are studios saying!?! Matt and Kelsey from Christmas City Studio: “This feature has not only improved our job accuracy but has also allowed our staff to transfer their time to other value-added tasks." “Stages feature is a game changer for us” Adrian from Gulf South Pics: “For me, that’s really the value of Stages: the more of the repetitive workflow we can automate, the more time I can spend actually running and growing the business” Take the manual work out of managing your jobs with Stages . Join Mark and Tearah as they discuss how to automate each step of the job lifecycle—from prepay through proofing—while automatically updating forms, cart templates, price sheets, and bulk handling settings . We’ll show you how to move stages manually or trigger changes automatically based on job dates, specific dates, or the completion of a previous stage , helping you build a smoother, more consistent workflow. Watch the full video here: https://www.youtube.com/watch?v=V79UWBfp-qk We'd love to hear your feedback on stages, comment your thoughts below!

Taking Workflow on the Road: Captura X Technicare Onsite Workshop

There’s something special about getting the right people in a room together and our recent lab onsite in Edmonton, Alberta, was a perfect example of that. Hosted in partnership with the incredible team at Technicare, the day brought together current clients, industry partners, and potential new clients for a day filled with high energy, plenty of laughs, and meaningful collaboration. One of the highlights of the day was the opportunity to have open and honest conversations about some of the concerns and obstacles currently facing the industry. From navigating operational challenges to identifying opportunities for sustainable growth, we discussed practical tools and strategies that can help mitigate risk, improve efficiency, and set studios and labs up for continued success. These conversations are a great reminder that innovation isn’t just about new technology, it’s about understanding what our clients are experiencing and finding better ways to support them. Kalyn Showcased what makes Workflow such a versatile solution and highlight some of the exciting new capabilities our team has put in place. It was a great chance to demonstrate how Workflow can adapt to the evolving needs of labs and studios, while helping teams streamline their processes, manage risk, and create new opportunities for growth. Seeing the conversations and ideas sparked by the demo was one of the best parts of the day! We also had the pleasure of connecting with Kelly from our marketing team, who shared insights into the trends our studios have been seeing and explored different ways businesses can leverage those trends to drive revenue. From understanding changing customer expectations to identifying new opportunities within the market, the conversation highlighted the importance of staying curious, staying connected, and being willing to adapt. A huge thank you to the entire Technicare team for their continued partnership and for everything they did to make this event such a success. Your hospitality, collaboration, and enthusiasm helped create an environment where great conversations could happen, ideas could be shared, and relationships could grow. We truly appreciate the partnership and look forward to everything we’ll continue to accomplish together. And keep your eyes out… you never know when we might be coming to a lab near you! 👀

    Prepay order image selection

Over the years, I’ve seen this question come up a few times: Can parents place a prepay order and then come back later to choose their images for their order once the photos have been taken? It feels like a feature that could benefit everyone. Parents would be encouraged to order earlier, studios could save time by not having to select images or assign primary poses for prepay orders. I’m curious how others would like to see something like this work in practice. Parents would need a way to choose images for the products they’ve already purchased, and of course there would be opportunities for upselling once the images are available.

Picture day doesn’t have to feel like chaos

I wanted to shoutout an important Blog post regarding a Smooth Picture Day! Here is a snippet including some fantastic downloads by Our friend @Roger Pack ! Picture day doesn’t have to feel like chaos If you’ve ever wrapped a high volume picture day and thought: “We got the shots… but we’re going to pay for it later”, you’re not alone. Most picture day stress comes from the same handful of issues:

Images are captured but not connected cleanly to the right subject Multiple stations overwrite files or fall out of sync QR cards are technically ready but not actually scannable in real life Operators spend the day fixing problems instead of keeping the line moving Galleries go live late and the sales window gets squeezed The good news: this is all fixable with a repeatable workflow. After working with thousands of high volume studios, we’ve seen the same pattern: Picture days run smoothly when capture, subject data, and gallery delivery stay connected from the start. See the whole Blog post HERE!

MVP 2026 is coming—help us build it together

Last year , 90+ of you showed up for MVP. Here are some of the attendees - @Alex Ela @Zach Reininger @Luke Stewart @Eric Leszkowicz @Rachel Marrazo @Mark Motichek @Rachel Marrazo @Chip Bowen @Angie Buhr @Dennis Craft @Nick Gigante @Erica Wallin @Ginny Winston @Amanda Shores @David Kapper and so many more! Not for a typical conference—but for something more useful. No fluff. No theory. Just real workflows, real numbers, and real conversations from people doing the work every day. And that’s exactly what made it valuable. See what you missed from 2025 Studios shared how they: Simplified pricing to improve the entire order-to-delivery experience Used automation to save hours (and avoid costly mistakes) Turned yearbooks into a consistent revenue stream—not a headache Got time back with AI editing and reinvested it into school relationships Tested new capture methods like QR and facial recognition Applied smarter marketing strategies that actually drove participation But here’s the most important part: MVP worked because you shaped it. So let’s do it again—this time, even better

For MVP 2026 , we want to go deeper into what you care about most. What would make this event a must-attend for you? What challenges are you trying to solve right now? What workflows do you want to see broken down step-by-step? What’s working in your studio that others should learn from? Where are you trying to grow next—revenue, efficiency, new offerings? Whether it’s pricing, yearbooks, automation, marketing, staffing, or something we haven’t even listed—nothing’s off the table. This isn’t our event. It’s yours. The biggest impact from MVP comes from studios learning from each other. So if you’ve: Found a workflow that saves serious time Increased your average order value Cracked the code on participation Built something others could learn from We’d love for you to be part of shaping (or even leading) a session. Drop your ideas below 👇 Comment with: Topics you want covered Questions you want answered Or sessions you’d be excited to lead We’re building MVP 2026 with you—so let’s make it the most valuable one yet.
