Digital Downloads of Class Photos & Team Photos

What is everyone's company policies on digital downloads of class & team photos? We strictly do not allow it for privacy purposes, but I would like to know what other studios do. For any studios that do allow it, what is your price point compared to individual downloads, and what do you do about the privacy of the students?

Taking Workflow on the Road: Captura X Technicare Onsite Workshop

There’s something special about getting the right people in a room together and our recent lab onsite in Edmonton, Alberta, was a perfect example of that. Hosted in partnership with the incredible team at Technicare, the day brought together current clients, industry partners, and potential new clients for a day filled with high energy, plenty of laughs, and meaningful collaboration. One of the highlights of the day was the opportunity to have open and honest conversations about some of the concerns and obstacles currently facing the industry. From navigating operational challenges to identifying opportunities for sustainable growth, we discussed practical tools and strategies that can help mitigate risk, improve efficiency, and set studios and labs up for continued success. These conversations are a great reminder that innovation isn’t just about new technology, it’s about understanding what our clients are experiencing and finding better ways to support them. Kalyn Showcased what makes Workflow such a versatile solution and highlight some of the exciting new capabilities our team has put in place. It was a great chance to demonstrate how Workflow can adapt to the evolving needs of labs and studios, while helping teams streamline their processes, manage risk, and create new opportunities for growth. Seeing the conversations and ideas sparked by the demo was one of the best parts of the day! We also had the pleasure of connecting with Kelly from our marketing team, who shared insights into the trends our studios have been seeing and explored different ways businesses can leverage those trends to drive revenue. From understanding changing customer expectations to identifying new opportunities within the market, the conversation highlighted the importance of staying curious, staying connected, and being willing to adapt. A huge thank you to the entire Technicare team for their continued partnership and for everything they did to make this event such a success. Your hospitality, collaboration, and enthusiasm helped create an environment where great conversations could happen, ideas could be shared, and relationships could grow. We truly appreciate the partnership and look forward to everything we’ll continue to accomplish together. And keep your eyes out… you never know when we might be coming to a lab near you! 👀

    Archiving Galleries

How is everyone handling archiving galleries? Particularly in regards to customer support after the images are archived. We offer past years images at a higher price but we want customers to feel the urgency to buy it now and not wait. We would like for the galleries to have an "unlock/unarchive fee" but we also want to be able to place orders.

Is there a way to add the image drop shadow to the background selected for green screen jobs?

Ways to approach Class Composites/Group/Team Photos in Workflow

Scenario A - you’re offering Group photos in packages and a la carte and the group image will be ready at the same time as the individual. Answer: upload the Group image to Workflow and add the subject(s) to the Group so that they’ll see both the individual image and the group image(s) in their online gallery for ordering. ( help center article ) Scenario B - you’re offering Composite photos in packages and a la carte and the Composite image will not be ready at the same time as the individual and will be delivered at a later date. Answer: create a My Design product, 8x10 Group. Add it to the price sheet and inside any packages; do not set Fulfillment because it’s intended for manual fulfillment at a later date.  Once the Composite image is ready, run an Orders export to see who purchased the item. Create a group in Workflow that consists of those subjects who need the Composite. Add a Bulk Order for that group ( help center article ) using a 100% off discount code to zero out the cost at checkout. Scenario C - you’re offering Composite photos in packages and a la carte and the Composite image will not be ready at the same time as the individual so you’re using a dummy image placeholder. **Only works if everyone is getting their one primary individual image. If the customer had a selection of individual images online to choose from when ordering, refer to Answer B** Answer A: upload the dummy Composite image to Workflow named something like “Group.jpg”. Add the subject(s) to the Group so that they’ll see both the individual image and the dummy group image in their online gallery for ordering. ( help center article ) Once the Composite image is ready, use the Replace tool ( help center article ) to replace the existing Group.jpg with the new version, also named Group.jpg. Note - this will replace/update the group image seen in the online gallery. To update the image in the Order(s), you will need to navigate to the Orders screen in the job and click Tools > Reassign Images. This will prompt the system to refresh order image assignment, pulling in the primary image for the individual and the first group image associated in the subject record. (in the case of a subject being assigned to more than one group) Once finished, you’re ready to release the orders for fulfillment. Answer B: upload the dummy Composite image to Workflow named something like “Group.jpg”. Add the subject(s) to the Group so that they’ll see both the individual image and the dummy group image in their online gallery for ordering. ( help center article ) Once the Composite image is ready, navigate to the Orders tab inside the job and click to Edit each affected order to select the new Group image. <-- This is to preserve the individual image selection made by the customer, since more than one pose was online for them to choose when ordering. Once finished, you’re ready to release the orders for fulfillment.

MVP 2026 is coming—help us build it together

Last year , 90+ of you showed up for MVP. Here are some of the attendees - @Alex Ela @Zach Reininger @Luke Stewart @Eric Leszkowicz @Rachel Marrazo @Mark Motichek @Rachel Marrazo @Chip Bowen @Angie Buhr @Dennis Craft @Nick Gigante @Erica Wallin @Ginny Winston @Amanda Shores @David Kapper and so many more! Not for a typical conference—but for something more useful. No fluff. No theory. Just real workflows, real numbers, and real conversations from people doing the work every day. And that’s exactly what made it valuable. See what you missed from 2025 Studios shared how they: Simplified pricing to improve the entire order-to-delivery experience Used automation to save hours (and avoid costly mistakes) Turned yearbooks into a consistent revenue stream—not a headache Got time back with AI editing and reinvested it into school relationships Tested new capture methods like QR and facial recognition Applied smarter marketing strategies that actually drove participation But here’s the most important part: MVP worked because you shaped it. So let’s do it again—this time, even better

For MVP 2026 , we want to go deeper into what you care about most. What would make this event a must-attend for you? What challenges are you trying to solve right now? What workflows do you want to see broken down step-by-step? What’s working in your studio that others should learn from? Where are you trying to grow next—revenue, efficiency, new offerings? Whether it’s pricing, yearbooks, automation, marketing, staffing, or something we haven’t even listed—nothing’s off the table. This isn’t our event. It’s yours. The biggest impact from MVP comes from studios learning from each other. So if you’ve: Found a workflow that saves serious time Increased your average order value Cracked the code on participation Built something others could learn from We’d love for you to be part of shaping (or even leading) a session. Drop your ideas below 👇 Comment with: Topics you want covered Questions you want answered Or sessions you’d be excited to lead We’re building MVP 2026 with you—so let’s make it the most valuable one yet.

    Onboarding feedback wanted

Hi Everyone, Can we talk ONBOARDING!?!?! I am incredibly interested to hear from both folks who are currently or have recently onboarded to Workflow. Plus any new hires who had to learn the platform at an established studio, along with, of course, any of the people who've been around the block with us and just want to contribute their thoughts on the topic. I would love to gather feedback regarding What did you like about onboarding, what worked well? What needs improving? Was anything missed that you would have wanted included? How do you prefer to learn? Video, reading with photos, watching a webinar, in person, onsite etc Do you prefer AI voices or a real person for video content? How long do you like to spend focused time learning each day/week? What do you think makes learning more fun and enjoyable? (because let's be honest, new things often feel pretty dang hard) Any other random insights you have, I absolutely want to hear them! Picture of Joe my pet kangaroo for attention.
