Discount code suggestion - troubleshooting ideas
Summary: Wendy Beeby sought advice on creating versatile one-time use discount codes for parents, as well as troubleshooting a failed auto-generated discount code. Tearah Fox (Captura) provided detailed guidance on generating bulk discount codes and offered to help with the auto-generated code issue. The solution involved setting a $10 discount code not tied to specific products and clarifying issues with applying discounts to entire orders. A community call further helped resolve these concerns with a workaround for using codes based on order discounts.
Every now and then we may want to issue a $10 discount to a parent, maybe they just missed a promo or we had an issue. Any suggestions on creating a one-time use to issue to parents as needed? Until now i've tied it to the specific product but i need a little more flexibility - is there a code strategy for job specific discount that isn't just tied to one product in a price sheet? I also have a challenge where an auto-generated discount did not apply, sad face, so i have to figure out how to go back retrospectively, identify qualifying orders and apply a credit quickly.....any troubleshooting advice welcome!! We are newbies, getting fairly familiar with Workflow now, but discounts I realize I've got a lot to learn to get it right. Thanks all.

Adminyesterday at 8:41 PMYou can also just give them global code for a job type but make it one time use and have it expire in 1 week. If they use it to buy something else, at least they bought something lol.

Admin2 weeks agoThank you for taking the time to come in and write this @Wendy Beeby it is always a good time when we can help customers get to a solution!
It is also lovely to have you and @Stuart Beeby in the live hour with Nate and I.
For those following along and curious about the BOO code (based on order discount) here is some more context.
Since BOO codes cannot be applied at the Price sheet level, here is the workaround we came up with. (boo codes are able to be applied to a package or product)
Create and add a non-print product to the price sheet
Add a new category for this item
Attach the coupon code to the non-print product
Update the product visibility to Hidden so it is only available for internal ordering
For those who meet your requirements and need this item ordered internally to have the code applied, the following options exist.
You can place a single internal order per subject - using add a full order
You can add a custom field in sheet view and update as many subjects as applicable to use this field to place a bulk order.
Or add in bulk at larger volumes:
Export order data for the job under global orders tab
Remove any data with orders under the $ threshold
Remove all surplus order data except: Subject Online Code (for merging)
Add a custom data field using a word you'll recognize like "Boo Code" Or "$60 copoun" etc
Go to the Job > Tools > Import > subject data & Images > check Merge subject data > import > review > sync if no errors
Add bulk orders by going to > the job > order tab > Tools > +Bulk Add Orders > Choose Subjects > Filter by subject data at the bottom > select the custom field you added> create the order using the internal boo code product and complete the checkout process.
Ta da!

Admin2 weeks ago@Wendy Beeby I would like to dig into your question about instances where the auto-generated code did not apply.
Are these being used in a pre-pay scenario by any chance?
If you have a specific order example in your account, I can review it. It would be great if you could provide me with an order number and just let me know if you've fixed it already or not yet.

OP2 weeks agoHi Tearah,
Thanks. Unfortunately, we have not figured it out. We have successfully applied other BOO discounts where it is specifically tied to a product (eg staff 5 x 7), then we bulk-added an order. However, for our Auto-Generated $10.00. The intent was a $ 10 credit based on a $60 minimum spend. It was set up BOO against Order (not price sheet/products). This did not work. We have gone back and forth trying to redo and add it as a bulk order but the trigger doesn't come up. Reviewing the guidance - under Advanced Options it does say that Discounts can be applied to "the entire order". Hope that makes sense, any support would be welcome!!

Admin2 weeks agoHi @Wendy Beeby both myself and Nate will be available live to dig into this BOO item with you if you are available to make it to the support hour later at 5PM EST time. We have this running for the whole hour if you can pop in that would be great.
Otherwise, let me know the Price Sheet this is set up on by providing the Price Sheet ID number, and I can take a look for you to kick things off.
I think we'll need to be on a call to solve this one for you, but will try to get organized in advance.

Hi @Wendy Beeby a great topic to discuss!
You can create a set of codes in bulk by selecting the following options for your $10 off example.
Global code
Number of discounts - more than 1. (Depending on your studio size, having 10 ready ahead of time is fine for others, it might be a much higher number)
Name will be Random generated, for easier tracking and exporting I suggest using the option to add text before/after Eample: F26 for fall 2026.
Under job type you can choose just underclass fall jobs or keep it open to all job types.
Edit number of uses allowed: Single Use (means it can only be used once, very important).
Discount amount: dollar off $10 (you can do additional batches of $20 or maybe a shipping only discount as well, and have a few variants available for your team)
Set what the code applies too: All Products & Add-ons, Shipping or Handling
I would use an end date and make sure customers are made aware of that date, say Jan 31st 2027 etc so they must use it during fall.
Once you've generated all the codes you want, you can perform a bulk export of the codes to place into a live google spreadsheet for all of your customer support people to access, they can simply mark of codes as they hand them out so no code gets shared twice.
To perform the export you can filter down to the type > Global.
Under advanced settings, include the text you added F26 to ensure it pulls all of your premade fall codes.
Example shown in image included of an export of codes.
I am going to address your BOO code question in a separate reply.

OP2 weeks agoThansk Tearah. Working on this now so i can apply $10 when needed. THis is separate to the issue we have where our Auto Generated code has failed. The intent was a BOO discount to apply $10 when the exceed $60 minimum. WE had planned to apply across UFall. I have given example in the next chat.

OP2 weeks ago@Tearah Fox (Captura) the guidance on creating bulk codes and creating a download was super helpful. Up and running, thanks so much!! Less successful with the BOO Discount. We have followed all the guidance but we cannot make it work if we set the discount to "entire order" vs specific product. It does say this is "advanced options" so clearly we need the experts :). If you have any detailed guidance on this specifically, that would be much appreciated. We will also need a strategy to identify and credit everyone who met the minimum criteria but the auto-generated credit didnt apply.
